Giving Your Users Access to Multiple Workspaces

Do you have a User that accesses multiple Workspaces by logging into each individual Workspace with a separate username and password?

Would you would like to give new Users access to multiple Workspaces?

Then this article is for you…

Assigning FTP Site Root as their Starting Workspace provides immediate and direct access to multiple Workspaces with one login and without any extra navigation.

Even though they are taken to the root directory, Workspace visibility and access will be limited to only the Workspaces that a site administrator has assigned. This access can be edited and changed at any time.

For new Users: When you Create the new user, simply give themas their Starting Workspace. After the user has been set up, click on the Manage Icon next to the username you have created, click on access and proceed to check the permissions boxes for the Workspaces for which you want them to have access.

For existing Users:  Click the Manage Icon next to the Username, click Edit and change the Starting Workspace toand click OK. Then click Access and check the permissions boxes for the Workspaces that you wish to have this User access.

A related article about sharing Workspaces can also be found here.

Departments – Sub FTP Site Administration

Manage DepartmentsNow, with Manage Departments and User and Workspace edits, you can effectively create multiple “sub FTP sites” within your FTP Today site. This is an extremely powerful and unique feature in our industry.

Department ManagerThere is also a new class of
sub-site administrator called a Department Manager
.

A Department Manager can log in to Site Admin and can add, edit or delete both Users and Workspaces, but only within their Department. Their visibility in the control panel will be completely limited to one Department. Any Reports or other screens accessible to a Department Manager will be content-filtered to include only departmental data.

Users and Workspaces can belong to one Department (for management by a Department Manager), however Users can also be assigned access to other Workspaces outside the Department (by a full Site Administrator).

Workspaces and Users in existance before this feature was rolled out are, as before, not members of any Department. There is no requirement to assign a Department, but you can do so via User-Edit or Workspace-Edit.

From an FTP client perspective, Users will still only see their assigned Workspaces and can still have limited permissions within each Workspace. A Department Manager will be given full rights to every Workspace in the Department.

To Share or Not to Share

Did you know that you can allow multiple users access to the same files?

Many FTP Today customers have used our service since long before we ever released our own software in March 2010. Our old system was only capable of letting each user access one folder. That works fine if all you want is private FTP folders.

With our current system, you can still restrict a user to one private workspace (FTP folder) if you want, but you can also allow any user access to as many other workspaces as you want (both private FTP and shared FTP folders).

Each user can also have unique permissions for each workspace (upload, download, delete, list). So, sharing folders is not only easy, but also very controllable. Here are a couple of examples:

Example 1
You might want someone on your staff to manage multiple FTP workspaces and files, while at the same time you might want your customer logins to be limited to one workspace each. Maybe you also want your customers limited to download-only, one staff member limited to upload-only, and yet another staff member to control the deletion of files.

Example 2
You might want each customer or end user to have access to two folders, one only for uploads and one only for downloads. To do this, firstcreate two workspaces per user. You then make the <FTP Site Root> their Starting Workspace (a.k.a. Home Directory) so they see both workspaces upon login and can navigate to either one. Don’t worry, just because they start in Root, they will not see any other workspaces. You can then further limit their Upload and Download settings on each workspace accordingly.

There is almost no limit to how many combinations of access and permissions can be fulfilled by proper set up of your FTP Today account.

iPad / iPhone Web App released

It is now easy to add FTP Today Site Admin to your iOS device.

  1. Browse to your FTP Today Site Admin URL in Safari on your iOS device.
  2. Tap the Action button then tap Add to Home Screen.
  3. Tap the Add button. This puts the FTP Today SA icon on your home screen.

You can then launch Site Admin directly from the FTP Today SA icon on your iPad or iPhone’s Home Screen. FTP Today SA launches in full screen web app mode.

Please note that this is not a native iPhone App; it is a web app.
A web app uses the Safari browser. This web app is therefore
not sensitive to the screen size of an iPhone.

We are planning on developing a true iPhone App in 2012 that
will be custom designed for the mobile phone screen size.

New Report – Disk Usage by Folder/File

On the Reports tab you will now find a new report “Disk Usage by Folder/File“. This report can be run in alphabetical order or by size (largest folder first). The latter sort method is the reason we developed this report in the first place, so you could instantly see what folders and files are occupying the largest portions of your storage limit.

Enable/Disable FTP, FTPeS, FTPS, SFTP and HTTPS at will!

FTP Today is proud to announce a powerful new feature — Advanced Protocol Controls.

Site administrators can now decide for yourself which protocols are enabled for file transfer, including FTP, FTPeS, FTPS, SFTP, HTTP and HTTPS. This gives you the power to enforce encryption (for example, by turning off FTP and turning on Explicit FTPS). Also, enabling only the protocols that you currently use provides added security by protecting the server from unwanted connection attempts on open ports.

Please note that we have not changed the way your FTP site functions, but you may still wish to disable some protocols that were formerly enabled simply because they came with your hosting plan.

Next time you log in to your FTP Today site administration system, visit the ‘Site Settings’ section. Use the ‘Change Site Settings’ icon to turn each protocol on or off at the site level. We have a knowledge base article on this topic posted here: http://support.ftptoday.com/index.php?_m=knowledgebase&_a=viewarticle&kbarticleid=92

1 User & 1GB Upgrades Now Available

À-la-carte users and storage upgrades are now available with any plan.

The User tab has been updated to allow an FTP site to exceed the number of users allocated to their FTP hosting plan. The New User form will present a message informing the admin that they are exceeding their allotment and that they will be billed 95¢ per month ($119.40 per year for annual prepays) for each additional user.  The admin must specifically check a box approving the fee, and can then proceed with creating the new user.

À-la-carte Storage upgrades are also available in 1 GB increments for $9.95 per month per GB. At the present time, storage upgrades per GB must be ordered via support ticket or email.
